Overview of the job of virtual assistant

We are seeking a trustworthy and creative virtual assistant to join our team. You will work remotely to update and organize files, take calls, respond to emails, help with the creation of presentations and sales materials, and more.

The ideal applicant should be extremely organized, tech savvy, and able to communicate through a variety of channels. Along with booking accommodations, flights, and itineraries, you will also be in charge of keeping track of expenditures and managing payments.

Duties and Responsibilities

  1. Answer and direct calls, set up correspondence, and respond to emails.
  2. Make databases and reporting ready and organized
  3. Control your social media profiles and comments
  4. Managing private client and employer information
  5. Jot down notes or record meetings
  6. Set up your employer’s calendar, schedule meetings, and reserve conference rooms.
  7. Establish payment schedules for sales, travel, and vendor spending.
  8. Create purchase orders, manage payments, and keep track of them.
  9. Show clients and customers that you have exceptional customer service skills.
  10. Organize documentation, update records, and manage file systems.
  11. Prepare and design PowerPoint materials as needed; look up presentation resources and materials.

Requirements and Qualifications

  1. Associate’s or Bachelor’s degree is preferable; high school diploma or equivalent
  2. Proficiency with computers, particularly knowledge of Microsoft Office (Word, PowerPoint, and Excel)
  3. Knowledge of cloud services, Google Docs, and other modern technology
  4. Possess the technological know-how to communicate via text, phone, or computer
  5. Highly organized, capable of multitasking, and able to follow prompt instructions
  6. Able to properly and efficiently manage time
  7. Ability to plan, manage, and keep track of a lot of files, projects, schedules, and information. Self-motivated and able to work independently.
  8. Strong customer service and presentation abilities; excellent communication skills; capable to working nights, weekends, overtime, and holidays as needed
  9. Experience managing assistant or administrative duties for at least two years, or working in customer service or a related field, is preferred.
